What is a Event Dashboard?

The event dashboard provides you with a clear visualisation of the information collected from your event.

It has different tiles depending on the settings you have made, which we will discuss in this article.


 


Where can you find the Event Dashboard?

The event dashboard is located in the event settings of each event in the backstage. 

Once you have created an event, it can be called up as the first item in the event settings options.

Event state

Your events also have different event statuses in the respective phases of the event.

States


Possible statuses are:


  • Planned 
  • Open for speakers
  • Live (Open for participants)
  • Finished
  • Deactivated
  • Will be reset



The respective dashboard content may be relevant depending on the status of the event.

Event Users 

Users by role

The absolute numbers of your event users are displayed in this tile.

These figures can already provide interesting information for an overview of the registered participants before the event, as well as for an overview of the absolute, registered participants after the event.

No distinction is made here according to the form of registration (anonymous user registration, API connection, user import), but only general information about the users created for the event is displayed.

  • Number of all users
  • participants
  • Speakers
  • organisers

User by double opt in

In this tile, the event users are displayed according to their double opt-in status.

A double opt-in is a separate email confirmation to verify the user before they are granted access to the event.

Possible subdivisions are:


  • Confirmed (email address has been verified by the user in their email inbox)
  • Pending (verification email has been sent, but the user has not yet confirmed this in their email inbox)
  • Not applicable (displayed if no double opt-in was set at the time the user was created)



User approval state

In this tile, the event users are displayed according to their authorisation status.

The registration approval can be selected as a setting for anonymous user registration and is assigned by an authorised backstage user (Admin, Event Administrator or Event User Administrator).

Possible subdivisions here are:

  • Accepted (After the registration release has been accepted, access to the event is sent to the event user by e-mail)
  • Pending (The registration approval has been set, but not yet accepted or rejected)
  • Not applicable (Displayed if no registration approval was set at the time the user was created)
  • Rejected (The event user should not be given access to the event. A cancellation is sent to the event user by email)



Event User by response

In this tile, the event users are displayed according to their invitation status.

In this case, the event user has been sent an email with an event invitation in which they have the option of accepting or declining it.

This can be created and customised both via the notification templates and via the Content Manager.

Possible subdivisions here are:

  • Accepted (After the event invitation has been accepted, access to the event is sent to the event user by email)
  • Tentative (The invitation has been posted but not yet accepted or declined)
  • No response (Displayed if no invitation email was set at the time of user creation)
  • Declined (The event user has declined the invitation and does not wish to participate in the event Cancellation sent by email to the event user)



Event Users Show rate

In this tile, the event users are displayed according to their attendance status.

The Show rate / No show rate shows whether the percentage of event users created / registered for the event were present live during the event (Start for participants was activated until finished). This percentage is calculated from the absolute number of event users (participants, speakers and organisers).

When logging in from several end devices via the same link (if this has been set as possible), the general login counts and the event user is shown as "Present".

Event Users Show Rate


Possible subdivisions here are:

  • Present (event user has dialled into the stage during the event - between participant start and end) 
  • Not present (event user has not dialled into the stage during the event - between participant start and end)



Stayed 80% of Event Time

In this tile, the event users are displayed according to their participation rate/cancellation rate.

The cancellation rate can be displayed after the event (Finished status) as a key figure for your event. You can use the cancellation rate to determine whether your event users were present for the entire event (at least 80% of the event duration from Start for participants to Finished status) or absent (no 80% of the event duration).

Participants can also be on other tabs during the event and are still displayed as fully "Finished", as the sound of the event can still be played in this way.

When logging in via several devices with one link (if this has been set as possible), the total presence of the event user (regardless of the end device) is counted.

Possible subdivisions are:

  • Finished (at least 80% of the event was attended)
  • Not Abandoned Early (less than 80% of the event attended)




Event users Attendance relative to Event Duration

This tile displays the attendance duration of the participants in relation to the duration of the event.

The attendance duration can be displayed as a diagram after the event (Finished status). 

The diagram allows you to see when your event users have left.

From this you can draw conclusions, for example, as to whether various presentations are perceived as very relevant or less interesting, or whether no participant returned to the event after a break, for example.

You can use these findings to optimise feedback forms or even the entire event programme.

Participants can also be on other tabs during the event and still not be shown as completely "finished", as the sound of the event can still be played out in this way.

When logging in via several devices with one link (if this has been set as possible), the total presence of the event user (regardless of the end device) is counted.

Reports

The Excel exports can be clicked and downloaded directly from this tile.

Further information on the respective export content can be found in the linked articles.

  • Attendance report (All key figures for your event can be called up in the attendance export after the event. There are several sheets in the Excel table, which contain both overall and session-specific information)
  • Survey results (If surveys were conducted by STREAMBOXY Interaction Tool during the event, all results can be retrieved in this export)

Cumulative attendance of all participants

This tile displays the cumulative (totalised) attendance time of all participants.

The attendance time can be displayed as a diagram after the event (Finished status). 


The diagram allows you to see how long all participants

  • at the entire event (totalled before, during and after the event),
  • before the event (in status planned and open for speakers),
  • during the event (started for participants until finished for participants) and
  • after the event (from the time that the event ended for participants)
were present.



This allows you to draw conclusions, for example, about how far before the event your participants log in to consume the content provided, or whether the feedback form was processed after the event but not submitted.

You can use these findings to optimise feedback forms or even the entire event programme.

Cumulative attendance of all participants




Average attendance  of all participants

The average attendance time of all participants is displayed in this tile.

The attendance time can be displayed as a diagram after the event (Finished status). 


You can use the diagram to see how long all participants were present on average

  • before the event (in status planned and open for speakers),
  • during the event (started for participants until finished for participants) and
  • after the event (from the time that the event ended for participants)

were present.


From this you can, for example, draw conclusions as to whether the event you planned was relevant for the participants and whether you should organise it in more detail at the next event or whether you planned the event in too much detail and for too long and should shorten it for a follow-up event.

You can use these findings to optimise feedback forms or even the entire event programme.
